The Lac La Ronge Indian Band’s Finance & Administration Department is now accepting applications to fill the following Permanent Full-Time position based out of La Ronge, SK:

PAYROLL OFFICER

 

The Payroll Officer is responsible for multiple financial activities relating to LLRIB bi-weekly payroll functions. This includes timely and accurate reporting of payroll data for the Band employees. Other responsibilities include overseeing the processing of staff expenses, journal entry preparation, reconciliations, and various other accounting functions. Integrity and strong attention to detail are crucial for this role.

 

The suitable candidate will be able to perform the following duties:

  • Calculating net salaries considering deductions and withholding.
  • Ensure payroll and tax documents are accurate.
  • Assist in the preparation and administration of payroll for all Band employees, while auditing payroll processing reports for accuracy.
  • Ensure that all salaries are paid accurately and in a timely fashion to all Band employees, contractors, and other parties.
  • Process overtime earnings and holiday deductions.
  • Calculate insurance premiums and invoice departments.
  • Process payment to First Nations Insurance for premiums.
  • Monitor Paid and Unpaid leaves and inform employees regarding uncertified sick leave exhaustion notification.
  • Prepare journal entries and forms, such as records of employment, income tax forms, and remittances.
  • Assist staff and HR for processing Short term and Long term disability application.
  • Assist in the administration of employee programs (e.g. health benefits, Pension Plan, and so on).
  • Accept and process pre-authorized staff expense forms; distribute reimbursement checks as necessary.
  • Ensure that expense claims forms are filled out correctly.
  • Issue ad hoc, monthly, quarterly, and annual reports.
  • Take and handle all inquiries arising from questions about payroll.
  • Implement salary increases in accordance with instructions given.
  • Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements.
  • Maintain records for pension and life assurance contributions made by employees; liaise with service providers to ensure funds are transferred as appropriate.
  • If necessary, monitor holiday and attendance records for Program units.
  • Collaborate with the HR staff and other departments to ensure pay and personnel records are accurate and up to date.
  • Stay current with statutory changes process updates.

 

The suitable candidate will possess the following qualifications:

  • Diploma in Accounting, Business, Finance or relevant field.
  • 3 (three) years’ experience in payroll administration. Combination of qualification and experience shall be considered.
  • Strong knowledge of payroll systems, internal controls, and management.
  • Advanced proficiency with Xyntax accounting software and payroll programs and applications.
  • Strong Microsoft Office and computer skills.
  • Must be able to handle confidential information in an ethical and professional manner.
  • Effective attention to detail and a high degree of accuracy.
  • Ability to respond appropriately in pressure situations with a calm and steady demeanor.
  • Able to effectively communicate both verbally and in writing.
  • Ability to speak Cree would be considered an asset;
  • Valid class 5 drivers license;
  • Must provide a satisfactory Drivers Abstract, Criminal Record Check/Vulnerable Sector Screening.
